Composition of the Individual Monitoring Committee (IMC)

Who can be considered a “specialist” or “non-specialist” in the IMC?
  • It is not necessary for a member to be a complete specialist in the exact subject of your thesis, as the research explores new areas.
  • A member identified by your laboratory as a specialist may be considered as such.
  • A “non-specialist” member may also contribute relevant expertise.
The important thing is that there must be no conflict of interest and that there must be at least one member from outside Lyon/Saint-Étienne (COMUE).

Example: If your thesis is on tattooing and hepatitis, a professor of public health and epidemiology, even without direct clinical expertise in hepatitis, may be considered a specialist in the subject, as they are proficient in methodology and population-based approaches.

As a reminder, you must participate in the CSI at least once during your thesis.

Where can I find information about the organization of thesis defenses?

Information about thesis defenses is not published directly on doctoral school websites.

The start date of my thesis on ADUM is not the same as the date on my employment contract. Is this normal?

Yes, the date indicated on ADUM corresponds to your administrative thesis registration date. It may differ from the start date of your employment contract, which is determined by your employer.

I received an email saying that my ADUM file has been “devalidated.” What does this mean?

This means that not all of the requested changes have been made. An initial email was sent to you specifying the corrections or missing documents. Until all of these items have been submitted and the file has been finalized, your file may be invalidated.

Please refer to the initial email listing the changes to be made, then finalize your file again on ADUM.

How to apply for a PhD project via ADUM?

Applications for a PhD project are submitted through the ADUM platform.
You must create your file on ADUM and apply for the specific project.
Once your file is created and your application submitted, this step is considered complete.

What is the “Individual Training Path in relation to the professional project”?

This refers to the CIF (Individual Training Contract) document.
This document must be downloaded from the doctoral school’s website and completed in connection with your professional project and future doctoral path.
It should be prepared in consultation with your PhD supervisor(s).

What does the “Opinion of the Head of the Host Unit, signed” mean?

This is an official document certifying that the head of the host unit supports your application and approves your placement within the unit. You should contact the unit’s management directly to learn about the procedures for drafting and signing this opinion.

Who should be contacted for questions regarding the application file?

For matters related to the scientific project and the required documents, your PhD supervisor(s) are your primary contacts. They are best placed to guide you in preparing your application file.

Can my university degree be considered as non-catalog training?

Yes, university degrees related to cancer or technical and technological skills (such as bioinformatics, AI, specific animal techniques, etc.) can be considered as non-catalog training and added to ADUM.

What should I do if I am pregnant and need to manage my leave and the extension of my thesis?

1. Send the certificate to your employer.

  • Your employer (e.g., Centre Léon Bérard for salaried doctoral students) will handle issues related to your contract and any possible extension.
  • Make sure that the HR department receives your certificate quickly so that your maternity leave can be taken into account.

2. Inform your doctoral school/university

  • Send the certificate to your doctoral school (DRED/Doctoral & HDR Center).
  • CC your thesis supervisor and research team for follow-up.
  • This step allows you to officially extend the duration of your thesis to cover your maternity leave.

3. Check with your funding body

  • If your thesis is funded (e.g., INCa), contact your funding body to find out if any additional documents are required to extend the funding.

4. When to send the certificate ?

  • As soon as you receive the medical certificate, so that all the administrative procedures can be processed in a timely manner.

My ADUM file is blocked / my administrative registration has not been finalized. Why?

Even if your academic registration on ADUM is complete, administrative registration can only be finalized once all the mandatory steps have been completed.

The items generally required are:
  • the CVEC certificate;
  • the transcript of grades;
  • payment of registration fees by bank transfer, using the requested payment reference.
  • If any of these items are missing, your file will remain pending.

For any specific questions regarding the CVEC (payment, exemption, certificate), please contact Lyon 1 University directly, as indicated in the email.

Can I have student status or participate in events while my enrollment is still being finalized?

No, until the administrative enrollment process is complete, student status is not active. This may prevent access to certain services and participation in institutional events. It is therefore essential to complete all administrative procedures as soon as possible.

Can I defend my thesis after the end of my PhD contract?

Yes, under the new defense procedures, it is possible to defend your thesis up to 6 months after the end of your PhD contract.

Am I allowed to work in the laboratory after my contract ends?

No, from the last day of your contract, you are no longer allowed to perform laboratory work. However, you can:
  • Write your thesis at home or in the laboratory as a visitor.
  • Continue preparing your defense (proofreading, corrections, preparing presentations) without performing experimental work.

How should I schedule my defense if the end of my contract coincides with a busy period for my supervisors?

You can propose dates within 6 months following the end of your contract, even if these dates fall after your original contract end date. This allows your defense to be scheduled according to the availability of your supervisors and jury members.

Supervisor change

If you wish to change your supervisor, you can either:

What to do for doctoral mobility outside Europe?

Doctoral mobility outside Europe requires significant administrative planning.

Doctoral student status
  • The doctoral student remains an employee of their French institution.
  • Research intern status does not apply to doctoral students enrolled in a thesis program.
  • This is not a joint supervision arrangement, unless a specific procedure is in place.
Mobility file
  • The file is compiled by the doctoral student's employer.
  • It must be validated and signed by the DRED (Lyon 1 University).
  • The host university may require a mobility agreement for administrative reasons (insurance, customs, laboratory access).

⚠️ Supervisors or scientific managers do not sign on behalf of the institution.

Visa and immigration
  • As Canada is not in the EU, a visa or appropriate arrangement is required.
  • Certain short stays (≤ 120 days) may be exempt from work permits, subject to conditions.
  • The process can take up to four months, so it is important to start the process early.
