Best practices
- Never create an additional ADUM account if one already exists.
- All significant changes (candidate, thesis date, deletion of obsolete applications) must be made through the administrative department or the HDR supervisor.

Submitting a project marked for a thesis grant on ADUM
All thesis topics must be submitted on ADUM, regardless of funding (even for students who are not applying for the CanBioS competition).

Yes, this is possible. For a non-competitive student:

An exemption allows you to supervise a thesis even if you do not yet have HDR status.

Who can create a thesis project in ADUM?
Only a teacher with HDR status can create a thesis project and make changes to it. Once the project has been transferred to the correct academic year by the Doctoral Department, the project supervisor (HDR) can request corrections via the administrative support team (e.g. candidate's name, thesis start date).
Is it possible to create a project in my name without HDR status?
No, ADUM does not allow you to create a thesis project for a supervisor without HDR status. Solution: identify a co-supervisor or HDR thesis supervisor who can create the project for you.
Can I reuse an HDR exemption from the previous year?
No. Each thesis project is unique. A new exemption must be submitted for a new project or a new doctoral student.
Can a co-supervisor based abroad replace the HDR?
No, a foreign co-supervisor (e.g. US, Italy) cannot replace an HDR for the creation of the ADUM project. Only an HDR teacher from the University of Lyon 1 or a locally recognised HDR co-supervisor can create the project.
What happens if I obtain my HDR during the year?
You can apply for your HDR and submit your project via ADUM once you have obtained it. Projects submitted before obtaining the HDR must be created via an existing HDR supervisor.
What should I do if I can't find my ADUM login details?
You must contact the Doctorate & HDR Centre to reset your account. For projects created by other HDR supervisors, make sure you receive a copy or access to complete the file.
Add a thesis proposal on ADUM
If you do not see the option to create or add a thesis proposal, here are the steps to follow:
Always check the year displayed before attempting to add a project. This is the most common mistake!
If you have several projects, remember to check that each proposal is linked to the correct academic year.
- Check the academic year displayed
- By default, ADUM may display the previous year (e.g. 2025-2026).
- For upcoming thesis projects, you must select the year 2026-2027 (or the year corresponding to the start of your thesis).
- This option is usually found in a drop-down menu or on the home page of the ‘Thesis Proposals’ section.
- Once the correct year has been selected, a tab or button labelled ‘Add a proposal’ should appear.
- If the tab is still not visible, ensure that you are logged in with an account that has lecturer-researcher or thesis supervisor rights.

How do I add or change the candidate's name or start date?
Changes (PhD student's name, start date) can generally only be made by the project supervisor or the PhD Centre.
What should be done if the doctoral student cannot see the project in their ADUM account?
- Check that the project has been transferred to the correct academic year.
- Check that the doctoral student is correctly registered with the doctoral school (e.g. CanBios).
- Important: do not create a new ADUM account if the doctoral student already has one. They must use this account and apply via the existing project.
What if the doctoral student already has an ADUM account for another thesis?
It is not necessary to delete the existing account. The doctoral student must simply access the new thesis offer via this account and apply for the new thesis.
What should be done if the initial application is not visible or is incomplete?
Contact the doctoral school's administrative support team and check whether a previous application from another team needs to be deleted before submitting a new application.
What to check before applying online for a PhD student?
- The project has been correctly transferred to the correct academic year (e.g. 2026-2027).
- The PhD student's name has been entered correctly.
- The thesis start date corresponds to reality (e.g. 16 March 2026).
- The doctoral student is enrolled in the doctoral school and has access to ADUM.
Submitting funding applications for doctoral students
Once the project has been created in ADUM by an HDR, you can submit funding applications for your doctoral students (BMS, CIFRE, other foundations). You must then meet the specific deadlines for each call for applications.

The DRED (Directorate for Research and Doctoral Studies) is the central point of contact for the administrative management of doctorates, HDRs and doctoral campaigns. It ensures that files comply with regulations and provides support to doctoral schools and supervisors.
